Hartley Wintney Cricket Club takes the protection of the data we hold about you as a member seriously and are committed to respecting your privacy. HWCC will only use your personal information, and that of your children, if enrolled in our junior section, to administer your Club membership and to provide you with the service for which you are registering.
By becoming a member, you are agreeing that your information can be collected and used for the following purposes:
We may contact you, as a member, or as the parent of a junior member, by email, telephone or SMS/ smartphone application with regards to the above which are considered essential information for Club members.
What data we collect and hold
We collect basic information such as your name and contact details; your date of birth, gender and ethnic origin; records of past cricketing experience and performance; medical and disability information; details of other contacts you may provide; your assent to participate, abide by club rules, and related information.
With whom we may share your data
We will only share your information with people directly involved in your or your child's membership of the club.
In some cases, the Club may be required to disclose the information to County Boards, Leagues and to the England and Wales Cricket Board. In the event of a medical issue or child protection issue arising, the Club may disclose certain information to doctors or other medical specialists and/or to the Police, Children’s Social Care, the Courts and/or Probation Officers and potentially to legal and other advisers involved in an investigation.
Your rights
You have the right to see your personal data, ensure that it is correct and up-to-date, request a copy, or to ask us to delete it.
Use of your data for marketing purposes
The cricket club relies on the support of our members and therefore we would like to send you, by email, post or SMS, information on social and fundraising events.
When you register with HWCC, you are given the opportunity to opt-in or out of receiving this information. You can change this preference at any time by signing into your hwcc.uk account on Pitchero and changing the preference, or by emailing us.

Under the GDPR (General Data Protection Regulation) we do not have a statutory requirement to have a Data Protection Officer. The Committee is responsible for ensuring that HWCC discharges its obligations under the GDPR and is responsible for maintaining a log of data breaches and notifying the ICO and any members affected as necessary, in accordance with our legal obligations.

Types of Membership
Senior Full Playing Membership
For adult over the age of 21 who play cricket for the club. Included in the price is Associate Membership for the member's spouse or partner.
Associate Membership
For men or women over the age of 21 who are non-playing members of the club. Included in the price is Associate Membership for the member's non-playing spouse or partner.
Three choices of Associate membership are offered:
Associate members may play for the club up to twice in any one season.
U16 - U21 Full Playing Membership & Academy
For young people between the ages of 16 and 21. Included in the price are: Associate Membership for the young person's parents; summer training sessions; coaching; and match fees in Academy matches.
Junior Section Membership
For young people up to the age of 15. Included in the price are: winter and summer training sessions; coaching costs; summer match fees; and Associate Membership for the young person's parents.
Junior Section Development Squad Membership
For children in Years 1 and 2 at school. Included in the price are: summer training sessions delivered by qualified cricket coaches; Associate Membership for the child's parents.
Annual Memberships run for one club year from April 1st to March 31st of the following year.
Conditions of Registration and Membership
By registering on hwcc.uk, and by purchasing a membership subscription, you accept and agree to be bound by the Rules and Constitution (“the Rules”) of the club, and to observe and support the policies procedures and guidelines set out in the Club’s Policy Manual. Copies of the Rules and the Manual are available at the Club’s pavilion and here. The rules include Codes of Conduct for members, guests, players (senior and junior), coaches and officials. Children under the age of 18 can only be registered, and their membership subscriptions purchased, by an adult with legal responsibility for those children. By registering your children on hwcc.uk and by purchasing membership subscriptions for them, you confirm that you have legal responsibility for those children and can provide data and sign on their behalf.
In registering and paying for junior section membership parents/guardians agree to the child taking part in the activities of the Club. You agree that in an emergency situation, the Club may act in loco parentis, if the need arises for the administration of emergency first aid and/or other medical treatment which in the opinion of a qualified medical practitioner may be necessary. All reasonable steps will be taken to contact you or a second parent/guardian or emergency contact if you have provided those details.

You confirm that to the best of your knowledge, all the information you have provided, during registration or when purchasing an annual subscription, is accurate, and that you will advise the Club of any changes to this information or update your personal information on your Club account.
